The DVW Tableau Connector for SAP ("TCS") is a flexible, fast and easy to use Desktop tool that can be used with Tableau and Tableau Prep.
In this blog we will use the TCS to extract data from two commonly used SAP finance tables, import the data into Tableau Prep, create a Join between the table data in Tableau Prep and generate an output file ready for consumption in Tableau.
SAP financial postings are written to a number of tables including the SAP BKPF (Accounting Document Header) and BSEG (Accounting Document Segment) tables. These tables are found in SAP ECC and SAP S/4HANA systems.
Our starting point is the TCS Control Panel which is used to manage extracts and administer the SAP systems you wish to extract data from.
To extract data from the SAP BKPF and SAP BSEG tables we will create two new Services in the TCS. One for each table.
To create and schedule a new extract click the, "Add a new Service" button.
You will be prompted to specify the type of extract you want to define. The TCS supports the extract of data from SAP BW Queries, Query Views and InfoProviders as well as SAP Tables.
Specify SAP Table from the "Type" field drop-down list.
Once you have selected the extract type, you will be prompted to give a Name and Description to the new Service.
Name the new Service so that it is easy to recognize from the TCS Control Panel.
Click on, "OK" to continue.
Select the SAP system from which the data will be extracted. We are going to extract data from an SAP S/4HANA Table so the S/4HANA system has been selected.
Once the system has been selected, click on the "Parameters" tab to continue.
In the "SAP Table Selection" pop-up window, enter the name of the table you want to work with. In this example we are searching for SAP Table, BKPF.
Click on the name of the table to select it and confirm the selection by clicking, "OK".
The metadata for the selected table is displayed on the "Parameters" tab. You will see a list of standard and custom fields that are available for the table.
Use the check box next to the fields to add the field to your extract output.
You can also add Filters to the data to be extracted. We are going to create Filters based on Fiscal Year.
We are interested in extracting data for Fiscal Year 2018.
Once the Filter has been applied it is displayed in the bottom half of the "Parameters" tab. From here the Filter can be edited or deleted.
Click on the "Schedule" tab to proceed.
On the "Schedule" tab we define the output type and the target location for the extract file. In this example we will create a Tableau Hyper File extract.
We also use the "Schedule" tab to specify whether the extract will be performed, "Now" as in immediately, or as a one-off or whether the extract will be recurring.
The TCS supports a frequency of minutes to annual and everything in between.
The SAP BKPF table extract we have defined is now visible on the "Services" tab of the TCS Control Panel.
This process is repeated to create a Service for the SAP BSEG table.
Once the Services for the two tables have been defined, right-click on each entry and click, "Schedule". The extract is executed according to the rules we defined previously.
The status changes to, "Scheduled" while the extract is run. It reverts to "Descheduled" once the extract has completed.
The extract files are written to the directory specified in the Service.
Launch Tableau Prep and define new Connections based on a Tableau extract.
Select the Tableau Extract files we generated previously.
The data is pulled into Tableau Prep. Create another Connection for the second Tableau Extract file.
Click on "Add Join" to create a Join between the SAP BKPF and SAP BSEG extract files.
Add a Join Clause to create the Join between SAP BKPF and SAP BSEG.
The Accounting Document Number is common to both tables.
The results of the Join are available to review.
Add an Output to the Tableau Prep Flow.
Click, "Run Flow" to run the Flow.
The Tableau Prep Output is ready for consumption in Tableau.
